Over the years, University Press books have been sent directly to University Archives by the Press. More recently, copies have come through Ellis Library Acquisitions. All volumes are processed at the Archives as they arrive. Those books that deal with Missouri are added to the Missouri reference section in the Archives Reading Room. The remaining books are placed in cubic foot boxes and transferred to the Record Center for storage.
Because University Press Books constitute the records of the University Press, a copy of each book published by the University Press is preserved in the University Archives. Limited space prevents maintaining the entire collection in the reference room, therefore only volumes that contribute information about Missouri or the University of Missouri are retained there.
This policy applies to all University of Missouri - Columbia Archives staff members.
The Archives staff will process all University Press Books in the manner described below.
5-1. University Press Books - books or monographs that constitute the records of the academic publishing unit of the University.
6-1. Enter a batch of Press books in the Accession Register. Each book does not have to be accessioned separately; rather, all books that come into the Archives in a common shipment or over a reasonable period of time can be listed together under one accession number. The format is as in the following example:
UW; University Press books; J. Daniels, The Man of Independence; S. Curtis, First Black Actors on the Great White Way; M.J. O'Brien and R.L. Lyman, James A. Ford and the Growth of American Archeology; 1998, 3 vols. Box 57 UW:4/151/1.
6-1-1. New University Press books are allowed to accumulate in the administrative offices of University Archives until an adequate quantity accrues for accessioning.
6-2. Write the accession number in pencil in the far left-hand corner of the inside cover or title page.
6-3. Add the bibliographic information for each book in the new accession to the electronic spreadsheet file for UW:4/151/1.
6-4. If the book's subject matter is about Missouri or the University of Missouri, place it on the Missouri reference book shelf in the Archives Reading Room.
6-5. Monographs having no direct link to state or university history can be placed in a cubic foot box. When enough of these volumes have accumulated to fill a cubic foot box, they are then sent to the Records Center for storage.
6-6. Consult the Kardex card for the University Press Books collection (UW:4/151/1) for the box number of the new box being added. Adjust the Kardex card and the inventory file to reflect the addition.
