Scope and Content Note

This Record Sub-Group contains committee records and supplementary materials created by standing and ad hoc committees of the MU Libraries. Included among the committees are the Staff Representative Committee, the Automation Committee, the Ad Hoc Committee on a Governance System for Librarians, the Ad Hoc Committee on Librarians' Leave, the Organizational Effectiveness Task Group, the Public Services Committee, the Library Faculty Council Election Committee, the Affirmative/Diversity Action Committee, the Staff Development Committee, Library Assembly, and various committees dealing with digital materials and digitization, including MOspace.

Series Descriptions:

Series 1. - C:20/11/1 (A04-110)
This Series contains records created or received by the Staff Representative Committee (SRC) of the MU Libraries, (1978-1999, bulk 1990-1999). The records consist of SRC policies, (1983-1997), election materials, (1990-1999), publications such as Puzzles, Problems, and Possibilities, (1984-1988), correspondence, memoranda, conference material, (1996-1997), and annual reports, (1993-1999, with gaps). Records also pertain to the staff suggestion box, (1991-1999), and New Employee Orientation, (1991-1999). Also included in the Series are Library Council meeting minutes and agendas, (1979-1999, with gaps); public service statistics, (1996-1999); Library newsletters; staff survey, (1978); and various Library plans and manuals, including personnel, strategic, facilities program, and automation.

Note to Researcher: This Series is currently unprocessed. Until completely processed and inventoried, portions may not be fully available to researchers.
The Staff Representative Committee was established in July 1978. Its current functions are to "to facilitate communication among all levels of library staff" and serve as "a resource for staff to facilitate understanding of new policies and policy changes" as well as a resource "to administration and the Director for issues related to library staff."

Series 2. - C:20/11/2 (A07-30)
This Series contains records created or received by the Automation Committee of the MU Libraries, (1987-1996). The records consist of correspondence and memoranda, meeting minutes, annual reports, newsletters, and proposals. The records reflect the activities of the Committee as the main body for discussion, evaluation, and recommendations regarding the micro-computing concerns of the MU Libraries, ranging from the library circulation system to computer equipment inventories.

Series 3. - C:20/11/3 (A07-30)
This Series contains records created or received by the Ad Hoc Committee on a Governance System for Librarians of the MU Libraries, (1983-2001, 2005). The records consist of correspondence, memoranda, draft proposals and revisions, and surveys. The records reflect the efforts of the Committee to develop and subsequently revise a governance document for the professional staff of the MU Libraries.

Note to Researcher: This Series contains a number of revisions of the Governance Document that were undertaken after the disbanding of the Ad Hoc Committee. They are maintained in this Series as they were produced by the former Chair of the Committee in an advisory capacity to the MU Libraries Promotion Committee.

This Series contains records created and received by a number of ad hoc committees or task groups of the MU Libraries, (1996-2001). The records consist of correspondence, memoranda, recommendations, reports, and supplemental documents. The records in this Series pertain to the Ad Hoc Committee on Librarians' Leave, the Organizational Effectiveness Task Group, and the Ad Hoc Web Committee, (1999-2001).

Series 5. - C:20/11/5 (A12-83)
This Series contains records created and received by the Collection Development Committee of the MU Libraries, (1986-1988). The records consist of conspectus worksheets, serial lists, manuals and other informational materials, and correspondence and memoranda. The records all pertain to the North American Collection Inventory Project (NCIP) in which the MU Libraries participated. Most of the records pertain to the science branches of the MU Libraries, although a report for the subject areas of Philosophy and Religion is also included.

This Series contains records of the Public Services Committee of the MU Libraries, (1994-2002). The records consist of the Committee's general policy, annual reports, and Celebration of Services highlights.

Series 7. - C:20/11/7
This Series contains records of the Ad Hoc Library Faculty Council Election Committee, (1994). The records consist of correspondence, memoranda, policies, and procedures pertaining to the election of a representative from eligible University of Missouri-Columbia librarians to serve on the University of Missouri Faculty Council. The committee members were Anne Edwards (chairwoman), Victor Myers, and Richard Rexroat.

Series 8. - C:20/11/8 (A16-27)
This Series contains records of the MU Libraries Affirmative Action Committee and the Diversity Action Committee, (1976, 1988-2010). The records consist of meeting agendas and minutes, programs and events, including Black History Month and Women's History Month, administrative records, photographs, policies, and reports. Series 8 includes some records that did not originate directly from the committees but were maintained together by their ex-officio member, MU Libraries Human Resources Manager Leo Agnew.

This Series contains records of the MU Libraries Staff Development Committee, (1999-2011). The records consist of meeting minutes, annual reports, surveys and evaluations, awards, and programs and program ideas. The majority of the records in Series 9 were maintained by the Committee's ex-officio member, MU Libraries Human Resources Manager Leo Agnew.

Records from the following committees can be found in Series 12: Task Force on Developing Digital Collections for the MU Libraries, (2006), MOspace, (2008-2009), Committee on Digitization Initiatives, (2006-2011), and the Digitization Advisory Committee, (2013-2014).

This Series contains records created and received by the University Libraries Exhibits Committee, (2004-2013). The records include the following types and topics: annual reports, meeting minutes, web pages created for past exhibits, images of exhibits, policies, forms, exhibit schedules, and Bookmark Cafe exhibit space.

Restrictions Note: The Archives of the University of Missouri-Columbia is required by law and Board of Curator's policy to restrict access to some files and information. Student records are held as confidential under the Federal Educational Rights and Privacy Act of 1974 and by University policy. Faculty promotion and tenure records and Academic Personnel files are restricted for 75 years, or the lifetime of the individual. All grievance, disciplinary, and medical records are treated as confidential files. Consultations with legal counsel, both in-house and external, are protected by the attorney/client privilege and will not be released.
