Scope and Content Note
This Record Sub-Group contains administrative correspondence and files created and received by the Director of Purchasing and Food Purchasing Agents of the MU and later the UM-System Purchasing Office (1957-1975). Included in this Sub-Group are a variety of policy and operational correspondence as well as administrative reports and materials from procurement-related committee and organizational meetings. The Sub-Group also contains product and service advertising materials from vendors, discrepancy and accounting reports, bid documents, specifications for various items to be obtained for the UM-System as well as various fiscal and audit records of campus and system purchasing activities.
Series Descriptions:
Series 1. - UW:4/131/3 (A74-1, A74-10, A74-11, A75-54)
This Records Series contains the general correspondence created by the Director of the MU-System Purchasing Office (1965-1975). Included within the correspondence are communications between purchasing agents, campus departments, vendors of services and goods, and shippers. The Records Series also includes bid advertisements and specification documents, claims and problem reporting forms, as well as a questionnaire to other universities about forms used for various purposes such as space utilization tracking and construction management. Reports and meeting minutes also constitute a portion of this Records Series.

Series 2. - UW:4/131/1 and UW:4/131/2
This Records Series contains the correspondence, memoranda, notes, reports, accounting documents, bid advertisements and proposals, and various meeting materials created or received by the MU and later UM-System Food Purchasing Agent and Assistant Food Purchasing Agent (1957-1964). The correspondence in this Records Series addresses such topics as space planning, spoilage, incorrect order filling, the commodity food program, purchase and delivery discrepancies, sample analysis and testing of new products, and personnel matters.

Restrictions Note: The Archives of the University of Missouri-Columbia is required by law and Board of Curator's policy to restrict access to some files and information. Student records are held as confidential under the Federal Educational Rights and Privacy Act of 1974 and by University policy. Faculty promotion and tenure records and Academic Personnel files are restricted for 75 years, or the lifetime of the individual. All grievance, disciplinary, and medical records are treated as confidential files. Consultations with legal counsel, both in-house and external, are protected by the attorney/client privilege and will not be released.
