Policy Number 30: Committee Records


1. POLICY:

In general, records created by and originating from university committees that are interdisciplinary in nature (and often appointed by the Provost) should be classified in Record Group 24, Committees. Concerning such interdisciplinary committee records, the UMC College, School, Department or Division to which a particular committee's chairperson belongs (or committee members belong) has no bearing on the provenance of the records.

Examples of committees that would fall under the Record Group 24 classification, and which could include faculty, staff, and students as committee members, are:

Campus Parking & Transportation
Campus Planning
Campus Recreation
Campus Safety
Committees
Concerts
Environmental Affairs
Hearnes Center
Honorary Degrees
Intercollegiate Athletics
Lectures
Library -- Minority Affairs
Missouri Unions
MU Information Technology
Persons with Disabilities
Residence for Tuition Purposes
Residential Life
Retiree Advisory
Revision of Student Records
Status of Women
Student Conduct
Student Fee Capital Improvements
Student Financial Aid
Student Organizations
Student Publications
Traffic Appeals

EXCEPTIONS: Exceptions to this policy include the following: (1) In the case of position search committees, such records should be classified into a discipline-specific Record Group; (2) Committee records that are embedded with a great volume of other records from a particular College, School, Division, or Department may be kept with the larger body of records.

NOTE: In 08/2002 Record Sub-Groups C:0/19 (University General; Committees) and C:2/8 (University Faculty; Faculty Committees) were officially closed, with Record Group 24, Committees, being created to properly classify and organize interdisciplinary committee records.

2. PURPOSE:

The purpose of this policy is to provide instruction about the classification of general university committee records in order to: (1) facilitate reference service concerning committee materials, (2) bring consistency to the classification of committee records, and (3) encourage the future donation and transfer of committee records.

3. SCOPE:

This policy applies to all University of Missouri-Columbia Archives staff members and student workers.

4. RESPONSIBILITIES:

All Archives staff members involved in the classification and processing of committee records should follow the guidelines of this policy.
