Physical checks of the two vaults in the basement of Clark Hall are to be conducted on a regular basis.
The purpose of regular vault checks is fourfold: (1) for assurance of proper ventilation and cooling; (2) for determination of water leakage and any resultant damage; (3) for determination of unlawful entry resulting in vandalism or missing items; and (4) for determination of insect presence and activity.
This policy applies to all University of Missouri - Columbia Archives staff members and student workers.
4-1. The University Archivist is ultimately responsible for optimum storage conditions within the vault rooms.
4-2. The University Archives staff and student workers are responsible for periodically checking the two vault rooms. Any type of irregularity is to be reported immediately to the University Archivist.
5-1. Vault - room B3A in the basement of Clark hall.
6-1. Any time that a staff member visits the vault room (B3A), he or she should perform a visual check of the premises, looking for signs of unlawful entry resulting in vandalism or missing items, checking for leaking utility pipes and resulting damage, determining that the cooling systems are working as they should, and checking for living insects and pests.
6-2. Any type of irregularity should be reported immediately to the University Archivist. If the irregularity can not be satisfactorily dealt with by the University Archivist or staff, then the University Archivist will contact the Building Coordinator and request remedial action.
6-3. Whenever a staff member or student worker passes the rows of lockers in the hallway of Clark Hall, he or she should visually check the lockers to verify that they are completely closed, and occasionally test the door handles in passing to confirm their locked status.
6-4. Occasionally the Department of Physical Therapy will place large pieces of rehabilitative equipment or classroom furniture in front of the double-depth lockers in the basement of Lewis Hall. If you need to get into the cabinets to retrieve or replace archives materials and the doors are blocked, call either Beverly or Marilyn Sanford of Physical Therapy at 573/882-7103 and request they move the equipment away from the doors of the cabinets.
